Words of the Russian Payroll section: what they mean and where to get the data

The payroll screen uses plain words, while the tax office, the Social Fund and accountants use official ones. This page explains every word of the section for a company in Russia: the official name, what it is and why it matters to you, where to find a detail and which article covers it in depth.

Next to the word in the app there is an ⓘ icon. In its explanation, “Learn more” leads to this page and “Ask the assistant” opens the AI assistant with the question already written — you edit and send it yourself.

Contents#

Tax resident#

Official name: Russian tax resident (Art. 207 of the Tax Code).

Taxpayer status#

Official name: Taxpayer status code (6-NDFL).

Currency non-resident#

Official name: Non-resident under the currency control law (Law 173-FZ).

Residence permit (VNZh / RVP)#

Child deduction#

Official name: Standard tax deduction for a child (Art. 218 of the Tax Code).

A document by which the tax office confirms the employee’s right to a property or social deduction at work or to offset patent advances. Without it such a deduction or offset is not applied.

Where to get it: the employee obtains it from the tax office on application and brings it to the employer; it may also come to the company directly.

Previous employer#

Official name: Income from a previous employer this year.

If the employee joined mid-year, their income from the previous employer since January is needed to check the annual limit of the child deduction.

Learn more: Getting started: company → people → month → payout → report.

Civil contract (GPH)#

Official name: Civil law contract (work or services).

A contract for a specific job or service, not an employment contract: no paid leave or sick leave. Income tax is withheld from payments and contributions are charged much like on salary; choose it only for such contracts.

A second regular job under a separate employment contract outside the main working hours. It is not the same as part-time hours at your only job.

Summarized time recording#

Overtime#

Official name: Overtime work (Arts. 99, 152 of the Labour Code).

Piecework earnings#

On screen: “Pay per output”.

Earnings depend on output — the number of items, dishes or operations — not only on time worked and salary.

Timesheet#

On screen: “Hours worked”.

The timesheet shows when and how long a person worked. Hourly pay, overtime and night hours are calculated from it, and the employer is required to keep it.

Working time and rest rules#

On screen: “Rest and shift-length checks”.

Set the checks here: rest between shifts, shift length, days in a row. The app warns about a breach when you build the schedule.

Average earnings#

Official name: Average earnings (Art. 139 of the Labour Code; for benefits — Law 255-FZ).

Used for vacation pay, sick leave and some payments on dismissal. Periods differ: vacation pay uses 12 months, sick leave uses 2 calendar years.

Sick leave#

Official name: Temporary disability benefit.

Pay for sick days under the electronic sick note. The employer pays the first three days, the Social Fund pays the rest directly; the amount depends on insurance service.

Learn more: Minimum wage: federal and regional.

Sick leave (temporary disability)#

On screen: “Sick days”.

A period when the employee does not work due to illness. How and by whom it is paid depends on the country and service; workplace injuries and occupational diseases follow separate rules.

Insurance service#

Official name: Insurance service for benefits (Art. 7 of Law 255-FZ).

Sets the sick-leave amount: under 5 years — 60% of average earnings, 5 to 8 years — 80%, 8 years and more — 100%.

The state body that establishes disability and issues a certificate. Deductions and benefits need the certificate’s number and date, not the diagnosis.

An inspection of workplaces that assigns them a working-conditions class. Harmful and hazardous classes add extra pension contributions.

Lists 1 and 2#

Official name: Lists of jobs giving the right to early retirement.

Lists of work with harmful and arduous conditions. Choosing one adds pension contributions at an additional rate — confirm it with documents for the workplace.

Withheld#

On screen: “From this amount we set aside taxes and mandatory deductions”.

A deduction reduces the amount paid to the employee: income tax, alimony, advance repayment. It is shown separately from earnings.

Monthly payroll and payouts#

More on this topic: Getting started: company → people → month → payout → report.

Payroll finalization#

On screen: “Approve payroll”.

Approval locks the month’s calculation: amounts stop changing and payouts and reports are prepared from them. No money moves — the payout is recorded separately.

Reversal#

On screen: “Correct the entry while keeping its history”.

The cancellation is recorded as a separate entry, so the original data stay in the history. It corrects the records but does not by itself return money already paid.

Retroactive adjustment#

On screen: “Correction for a closed month”.

If the event date falls in a month that is already approved, that calculation stays as it is: the difference goes into the current period as an adjustment.

Opening balances#

On screen: “Data from before you started using the app”.

Enter this year’s earlier months here: income, taxes, deductions and balances. Then the annual calculation continues without starting from zero, and rates and limits apply correctly.

Learn more: Getting started: company → people → month → payout → report.

Pay schedule#

On screen: “Paydays”.

On which days the company pays salary and advances. Without a schedule the app does not create “pay people” tasks or the deadlines that depend on them.

Actual payouts#

On screen: “Money actually paid to employees”.

A record that money was actually paid: amount, date and method. It is a separate fact — not the same as earnings or the payment plan.

Learn more: Getting started: company → people → month → payout → report.

Payment register#

On screen: “Payment list for the bank”.

A list of recipients and amounts used to prepare bank transfers. Preparing or marking such a list is not the same as sending the money.

BIK#

Official name: Bank identification code.

The 9-digit code of a bank in Russia. Together with the check digit it validates an account number: salary project, employee account, debit account.

Where to get it: the bank agreement, requisites in online banking or the Bank of Russia BIK directory.

Deadline calendar#

On screen: “Timeline of pay, tax and report dates”.

One timeline of when to pay salaries, pay taxes and contributions, file reports and complete HR actions. Deadlines are already moved from weekends to working days.

Payroll access#

On screen: “Who may work with payroll”.

A role in the menu does not open payroll by itself: access is granted separately, limited by company and term. By default only the owner can approve payouts.

Deductions under enforcement documents#

Enforcement document#

Official name: Enforcement document: writ of execution, court order, bailiff’s order, notarised child-support agreement.

A document that obliges the employer to withhold a debt or child support from pay and transfer it to the claimant. Ignoring it is not an option: it is fined.

Where to get it: the office and the account for transfers are in the order.

More on this topic: Getting started: company → people → month → payout → report.

Probation period#

On screen: “Trial period after hiring”.

A period in which the employer checks whether the employee is suitable — if the condition is in the contract and the law allows probation for this employee. An unsuccessful result requires a separate, lawful dismissal.

Staffing unit#

On screen: “Staff position”.

One place in the staffing table: position, department and number of full-time equivalents. Occupancy is counted from current employee assignments.

Staffing table#

On screen: “Positions and headcount plan”.

Shows how many positions are open for each job and how many are filled. In “strict” mode a hire beyond the plan is not saved; otherwise you only get a warning.

Staffing table mode “strict”#

An HR event will not be saved until the person is assigned to an open staffing unit. Use it when the staffing table is approved and must not be exceeded.

Vacant position#

On screen: “Open position”.

Shows how many places for a position can still be filled by a current assignment.

Final settlement on dismissal#
