Complex Returns: Different Shift, No Receipt, SBP, Store Chain

A basic return — receipt in hand, money refunded the same day — rarely raises questions. Difficulties begin when the receipt is lost, the shift was closed a long time ago, the customer's card no longer exists, and there are a dozen stores in the chain. 54-FZ addresses all these cases more simply than it seems: a return can almost always be processed; the question is on which POS and on what grounds.


1. Refund on Another Day and in Another Shift#

There are no time limits in 54-FZ itself: a "refund" receipt is issued in any currently open shift, on any POS registered to the same organization/sole proprietor that processed the original sale. The fact that the sale shift was closed long ago plays no role — the refund is issued under today's date of actual settlement with a reference to the original receipt (number, FPD, date).

The time frame within which a customer is entitled to request a refund is governed not by 54-FZ, but by consumer protection law and store policy — this is a separate question from whether the POS can technically issue the receipt.


2. Return without a customer receipt#

The absence of a paper receipt is not a ground for refusal. Sources for finding the sale:

Find the transaction through any source, record the receipt number and FPD (fiscal document attribute) (or at least the date/amount/payment method if the receipt cannot be found at all). Refusing a refund solely due to the lack of a paper receipt is a direct ground for a complaint.


3. Refund to a Different Card or in Cash#

Rule: cashless payments are refunded as cashless, cash in cash; priority is given to the same card/account used for payment.

If the customer's card is unavailable (reissued, account closed):

  1. Refund — upon the customer's written application to alternative bank details.
  2. Cash refund for a card purchase — only as an exception: this creates a discrepancy between the payment method on the receipt and the actual payout, presenting a risk during cash discipline audits. A new account based on an application is safer.
  3. A refund receipt is in any case issued using the same payment method as the original sale (cashless), regardless of where the money actually went.

4. Partial Return of a Discounted Set or Bundle#

If an item was sold as part of a discounted bundle, the discount in the sales receipt is already distributed across the items (the algorithm is described in the article on combined payment and discounts). In the case of a partial return, the recalculation is based on the item price in the sales receipt including the discount, rather than the original item price.

Example: a set of three mugs at 500 ₽ each with a 10% discount on the set — in the receipt, each mug costs 450 ₽. The refund for one mug is 450 ₽, not 500 ₽.


5. Refund for SBP Payments#

Technically identical to a card refund: a cashless "income return" receipt plus a refund via the banking service/SBP acquirer through which the payment was accepted. 6. Return of marked goods with a damaged code#

Basic rules for returning marked goods are available in the article "Marking at POS". A special case — the code is physically damaged:

  • The code can be restored using the sales receipt data (the original code is saved there) — use manual input instead of scanning if the inventory system allows it.
  • The code is unreadable and there is no data about it in the sales receipt — re-marking via the "Chestny ZNAK" operator is required: consult with them and follow their instructions; you cannot invent a code on your own.

7. Returns at Another Location in the Chain#

The rule depends on the legal entity acting as the seller, not on the storefront sign:

Location is a franchise, different legal entity No, returns are handled only by the actual seller

If a receipt is issued by Sole Proprietor Ivanov, and location "B" is "Franchise LLC", these are different sellers, and one POS cannot "cancel" a settlement made by another.


8. Expense return — a rare case#

An "expense return" receipt is rare and is symmetrical to a regular refund, only for "expense" transactions (buyback, consignment, trade-in). If an individual who sold you an item takes it back and returns the money paid to them, an "expense return" receipt is issued for the same amount and using the same method. 9. Example#

A chain of three stores owned by a single sole proprietor. A jacket was purchased at Store No. 1 for 8,500 ₽ by card, the receipt was lost, and a month later it is brought to Store No. 3 due to a defect; the card has already been reissued.

  1. Cashier No. 3 finds the sale in the OFD account by date/amount and verifies the last digits of the card.
  2. The customer submits an application with the new card details.
  3. At POS No. 3 (same organization) — "sale return", 8,500.00, cashless, referencing the original receipt.
  4. The money is transferred to the new card via a separate bank transaction.

10. How to do this in Cenaly#

  • Refunds — from the POS → Receipts log (receipts): search by date, amount, order number, or last card digits — not just by receipt number.
  • The electronic POS order log stores sales history across all locations of a single organization — a cashier at any location can see an order rung up at another.
  • Payment and refunds via SBP/card are synchronized through the order card.

11. Frequently Asked Questions#

The customer asks for a cash refund "for speed", even though they paid by card? Not recommended: a discrepancy between the payment method on the receipt and the actual payout carries risks. The correct approach when the card is unavailable is an application to refund to a different account (Section 3).

Is a refund processed during a shift that has not yet been closed from the previous day (night shift)? Yes, the only thing that matters is that the shift is open at the moment the refund receipt is issued.

Franchise under the same signage as the chain — how to explain a refusal to issue a refund? Directly: legally these are different sellers, and the refund must be processed by the entity that issued the receipt. It is worth specifying this in the refund policy in advance.

Is a refund act required for a refund without a receipt, besides locating the transaction in the OFD? There is no formal requirement, but documenting the grounds (a screenshot of the OFD account, bank transaction number) is good practice in case of an audit.
